ESN Lund is a Swedish non-profit association, corporate identity number 802460-7171. This page explains what personal data we hold about members and visitors, why, and what you can ask us to do with it.
This page is a skeleton for the board to complete. Do not publish it until every section has been confirmed by the President and the Digital Manager.
What we collect
Membership: your name, e-mail address, student status and ESNcard number, so we can confirm your membership and give you the member price.
Events: your ticket and any answers you gave when signing up, held for as long as we need them to run and account for the event.
Volunteers: additionally your phone number, team and role, and — if you claim expenses — your bank details.
Why we may hold it
Membership and event data is processed to perform the agreement between you and the association. Bank details are processed to meet our bookkeeping obligations under Swedish law.
Who else sees it
Hitract, which handles our ticketing and membership.
activities.esn.org, where we report the events we run to the wider network.
Google Workspace, which hosts our e-mail and documents.
How long we keep it
TODO — the board must set a retention period per category, and it must match what actually happens in the platform.
Your rights
You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Write to us and we will answer.
