Terms & conditions
The ground rules for memberships, ESNcards, tickets and merch — what you can expect from us, and what we ask of you. We are a student association run by volunteers, not a company, so we have tried to write them the way we would explain them at the office.
A membership is personal. One per person, in your own name, and it cannot be passed on.
Tickets and memberships are not refunded — unless we cancel or substantially change an event. Here is why.
Can't make it? Pass your ticket on to somebody else, for no more than you paid.
Merch can be returned unused within 14 days.
Events sold by our partners — Timetravels, Athme and others — follow their terms, not ours.
Once your ESNcard is activated at esncard.org, changes to it go through ESN International, not us.
Be decent to each other. Misuse or harmful behaviour can get you suspended or banned.
Who you are dealing with
ESN Lund (Erasmus Student Network Lund) is a Swedish non-profit association, corporate identity number 802460-7171, run entirely by student volunteers. When you buy a membership, a ticket or a hoodie from us, you buy it from the association. Nobody here is paid to answer e-mails, so please be patient with us — we do read every one.
These terms apply to everything you buy from us, on this website or at the office. You accept them by ticking the box before you pay.
Your account
An account is free. You get one when you register on Join or buy a ticket as a guest, and it holds your membership, your ESNcard and your tickets.
One person, one account. If you already have one, sign in to it rather than making another.
Keep your name, e-mail address and phone number up to date. Tickets, receipts and updates go to them, and we cannot resend something to an address that was mistyped.
What is done on your account is your responsibility, so do not share your sign-in codes or your password.
Membership
Who can join. ESN Lund membership is for international students in Lund who are Studentlund members, plus a few other groups listed on the ESNcard page. We check your Studentlund card before you can pay.
What it covers. The price and the semesters you get are shown before you pay — one or two semesters, up to the last one you tell us you are in Lund. Member prices and members-only events follow the membership.
It is yours alone. A membership belongs to the person it was bought for and cannot be lent, sold, shared or transferred. The same goes for member prices: they are for members, so please do not use yours to buy member-priced tickets for friends who are not.
It starts the moment you pay, because that is what you ask for when you press Pay. That is also why there is no 14-day cooling-off period on a membership — you have been using it since the payment went through.
Giving us false information — somebody else's Studentlund card, a name that is not yours — ends the membership without a refund.
The ESNcard
Every membership comes with an ESNcard, valid for twelve months from the day you pay. That is a different clock from the membership's, and it is ESN's rule rather than ours.
Check your details before you pay. Your name, nationality, date of birth and photo are printed on the card. If something is wrong, tell us and we will correct it on our side and redraw the card.
Activating the card at esncard.org is up to you. It happens on ESN International's website, under their own terms. Once your card is activated there, it is out of our hands: we cannot change, correct, move or deactivate anything on esncard.org. A wrong name or date, or an account you cannot get into, goes to ESN International through esncard.org. We are happy to point you to the right place, but we cannot press the button for you.
The discounts are offered by partners, not by us. They decide what they offer and can change or end a deal at any time, so we cannot promise that a particular discount will still be there.
An ESNcard number is never given to anybody else. If you lose the plastic card, tell us at the office.
Tickets to our events
Prices are in Swedish kronor and are the whole price. You get the member price when your membership is active on the account you buy with.
Your place is held for 20 minutes while you check out. If the payment is not finished by then, the place goes back on sale and nothing is charged.
Payment goes through our payment provider, SumUp, and we never see your card details. A ticket exists once the payment is confirmed, and you will find it on My ESN and in your e-mail.
Each ticket has a code that gets one person in, once. Whoever shows it first gets in, so keep it to yourself.
Answer the sign-up questions truthfully — dietary needs, allergies, sizes. The organisers plan around your answers.
Plans can change. We do our best to run every event as described, but a timetable, a venue or part of the programme may change because of the weather, a partner or the number of people signed up. If we change something essential, see Refunds.
Some events have their own requirements, such as an age limit, ID for a trip or a level of fitness. They are on the event page, and meeting them is up to you.
Passing your ticket on
Can't make it after all? You may give or sell your ticket to somebody else, as long as it is fair:
No more than you paid. Our tickets are priced at cost for students, not for profit.
A restricted ticket goes to somebody who could have bought it themselves — a member-price ticket to a member, a volunteers-only ticket to a volunteer.
Do not buy tickets to resell them, and never sell the same ticket to more than one person.
Tell us who is coming instead at [email protected], so the participant list — and the allergies the organisers planned around — are right.
The ticket code is what gets somebody in, so only buy from people you trust. A deal between two people is between those two people: we cannot sort out a payment that never arrived or a code somebody already used. The Sell & Buy chat in our WhatsApp community is a good place to find a taker.
Selling above the price, reselling in bulk or selling one ticket twice is misuse, and we may cancel the tickets involved without a refund.
Events run by our partners
Some events on our calendar are sold by somebody else — trips with Timetravels, sport sessions with Athme, and others. The event page says so, and its Get your ticket button takes you to their website.
When you book there, you buy from them, under their terms and conditions, including their own rules on cancellations and refunds. Questions about the booking, the payment or a refund go to them. We are glad to help you find the right person, but we cannot change or refund a booking we did not sell.
The shop
Each item says how it is paid for: online, reserved online and paid at the office, or in person only.
A reservation is held until the date shown. If it is not collected and paid for by then, it goes back on sale and you owe us nothing.
Anything bought online is collected at the office during office hours. Leaving Lund before you have picked something up? Write to us and we will work something out.
Pictures and sizes are as accurate as we can make them, but a colour can look a little different on a screen.
You can return merch within 14 days of collecting it for a full refund, as long as it is unused and unwashed and still has its tags if it came with any. Bring it to an office hour. Swapping it for another size is fine too, if we have one.
Something faulty, or not what you ordered? Tell us as soon as you notice — after the 14 days too — and we will replace it or give you your money back.
Why we do not do refunds
Tickets and memberships are not refunded. We know that can sound strict, so here is the reasoning:
We spend the money before the event. Buses, venues, food and trip deposits are booked and paid for according to how many people have signed up. A refunded seat is usually a seat we have already paid for.
Every refund costs us. Our payment provider keeps its fee even when we give the money back, and each refund is handled by hand by a volunteer — time that would otherwise go into running events.
Our prices are set at cost. There is no margin to absorb cancellations, so allowing them would mean raising the price for everybody who does turn up.
That is why you may pass your ticket on instead: it gets you your money back without anybody else paying for it.
There are exceptions, and we will always honour them:
We cancel the event — you get your money back in full. You do not need to ask.
We move it to another date or change something essential (where a trip goes, say) — if it no longer works for you, write to us before the event and you get a full refund.
Something went wrong with the payment — you were charged twice, charged the wrong amount, or a ticket never arrived — and we put it right.
Merch can be returned within 14 days, as described above.
A refund goes back to the card or payment method you paid with. Your bank may take a few working days to show it.
The 14-day right of withdrawal for online purchases does not apply to tickets for leisure events on a fixed date (lagen om distansavtal och avtal utanför affärslokaler, 2 kap. 11 § 12), and a membership starts at your request the moment you pay. None of this takes away any other right Swedish consumer law gives you.
Taking part
Our events are run by volunteers who do their best to keep everybody safe and having a good time. Taking part is still at your own risk, especially on trips and in sport: look after yourself and your belongings, follow the organisers' instructions, and have health and travel insurance when you travel with us. We are responsible for what we organise as far as the law says we are — not for services run by partners or other companies, and not for what you choose to do on your own during a trip.
Respect, suspensions and bans
ESN Lund only works because people treat each other well. Our code of conduct, among our official documents, applies at all our events and trips, in our office, and in our WhatsApp community and other chats — towards other participants, our volunteers, our partners and the places we visit.
We act on:
harassment, discrimination, threats or violence, and anything that puts other people at risk;
behaviour that is disrespectful or disruptive towards the community, our volunteers or our partners;
attempted misuse — a borrowed or fake Studentlund card, a membership shared with somebody else, member prices used for people who are not members, reselling tickets above their price or more than once, or disputing a card payment for something you received;
breaking the rules on this page, or the organisers' instructions at an event.
What happens depends on how serious it is: a conversation, being asked to leave an event (without a refund), a temporary suspension, or a permanent ban from the section's activities, events and chats. A ban ends a running membership without a refund, and means you cannot buy a membership, tickets or merch from us. Tickets you already hold for upcoming events may be cancelled — and if they are, they are refunded.
Suspensions and bans are decided by the board. We will tell you what we decided and why, and if you think we got it wrong, write to [email protected] and the board will look at it again.
Changes to these terms
We may update this page — when the law changes, when we start selling something new, or when something here turns out to be unclear. A purchase is covered by the terms that were on this page when you made it.
Questions and complaints
Write to [email protected], preferably from the address on your account and saying which event or item it is about. A person reads every message.
If we cannot agree, you can turn to the National Board for Consumer Disputes (Allmänna reklamationsnämnden, arn.se). Swedish law applies.
